Privacy Notice – Eken Cup

1. Introduction

This privacy policy describes how personal data is processed in connection with the Eken Cup (“the Cup”) in accordance with the EU General Data Protection Regulation (GDPR).

The privacy policy applies to the competitors, judges and also the officials who help during the cup. We protect the privacy of everyone, especially children and young people.

We collect and process the following personal data:

Team members:

  • Name
  • Age (or date of birth, if applicable)
  • Indirect Gender (team division)

Judge:

  • Name
  • Social security number
  • Address
  • Account number
  • Email address
  • Phone number
  • Shirt size

Officials:

  • Name
  • Phone number

We do not knowingly collect sensitive personal data under Article 9 GDPR.

4. Purpose of the processing

Personal data is processed for the following purposes:

  • Registration and administration of participation in the Cup for both teams and referees
  • Ensuring correct age classification and fair competition
  • Communication of relevant information about the Cup

5. Legal basis for processing

The processing is based on the following legal grounds according to GDPR:

  • Consent – from the participant’s guardian through the team manager who registers
  • Legitimate interest – to be able to organize and implement the Cup in an efficient manner

Consent can be revoked at any time.

6. Sharing of personal data

Personal data may be shared with:

  • IT suppliers supporting the administration of the Cup

All recipients process the data only to the extent necessary and in accordance with applicable data protection legislation.

7. Transfer to third countries

We do not transfer personal data outside the EU/EEA. Should this change, appropriate safeguards under GDPR will be ensured.

8. Storage of personal data

Personal data is stored:

  • While the Cup is in progress
  • Up to 12 months after the Cup for administrative purposes (e.g. follow-up, accounting and reporting)

The data is then deleted or anonymized in a secure manner.

9. Children’s personal data

Since the majority of participants are minors:

  • Is personal data only collected with the consent of guardians via team leaders
  • Does the principle of data minimization apply
  • Is public exposure of personal data limited as far as possible

10. Security

We take appropriate technical and organizational security measures to protect personal data, such as:

  • Access management
  • Safe storage
  • Limited access to authorized personnel

11. Rights of data subjects

Participants and their guardians have the right under GDPR to:

  • Request access to personal data
  • Request correction of incorrect information
  • Request deletion of data
  • Request restriction of processing
  • Object to processing based on legitimate interest
  • Withdraw consent at any time
